Choosing a Login Method: SSO vs. Passwordless Email Sign-On

Welcome Workdays offers two login methods for companies using the platform: Single Sign-On (SSO) and Passwordless Email Sign-On. Here’s what you need to know about each method to decide which is best for your organization.

What is SSO (Single Sign-On)?

SSO allows users to log in securely using their company’s existing email provider and domain(s). Only users with email addresses that match the approved domains can log in.

Key Benefits of SSO:

  • Enhanced Security: Reduces the risk of unauthorized access by limiting login to approved email domains.

  • Simplified Management: Automatically integrates with your company’s email system for a streamlined login experience.

  • Default and Recommended: SSO is the default option in Welcome Workdays for ease of use and strong security.

For companies using Microsoft Entra ID (formerly Azure AD), SSO can be directly integrated with Microsoft or Google Workspace accounts.

What is passwordless login with a One-Time Code (OTC)?

Passwordless authentication removes the need for traditional passwords.
Users log in by receiving a One-Time Code (OTC) sent via email or SMS, depending on the device they use to sign in.

How it works

  1. The user enters their email address or mobile number on the login page.

  2. They receive a One-Time Code via email or SMS.

  3. The user enters the code in the login window to complete the sign-in.

Benefits of OTC

  • Simpler user experience: No passwords to remember or manage.

  • Secure and flexible: Users can log in regardless of email domain – ideal for external teams, contractors, or partners.

  • Accessible anywhere: Works seamlessly on both mobile and desktop.


Which method should you choose?

  • We recommend SSO for most organizations due to its stronger security and easier management.

  • OTC login is a great alternative for teams without centralized email domains, temporary users, or external partners who do not have corporate accounts.


How to configure the login method

  1. Go to “Company Settings” in Welcome Workdays.

  2. Choose SSO (Single Sign-On). If SSO is not configured, passwordless login via email or SMS (OTC) will be used by default.

  3. If you select SSO, specify the approved email domains.

  4. Save your settings.
