About Welcome Food

This article is for all users who want to know more about Welcome Food

Welcome Food makes it easy for tenants and employees to access the cafeteria system in their office building. With automatic provisioning and user linking, ordering lunch, meeting catering, or paying with your access card becomes seamless.

As a unified system that connects the services people need in their working day around a single identity and rights layer, food sits within the platform's transactional product area alongside Welcome Snack, the meeting catering module.

Getting started

  1. If the canteen is enabled in your building, you will see Food in the menu

  2. You have a QR code linked to your account. You can find it in the app, or in Apple Wallet / Google Wallet if you have a digital access card

How it works

Tenants top up a prepaid balance through a secure payment link. Funds go directly to the canteen operator — Welcome acts as the ordering and payment layer only, never holding your money. At the canteen, users scan a QR code from their Apple or Google Wallet pass at a kiosk terminal. The kiosk validates the balance, deducts the meal price, and logs the transaction. The whole flow takes seconds.

Employer subsidies

Many companies contribute to their employees' lunch costs — known as kantinebidrag in Norway. Welcome Food handles this automatically:

  • Employer allowances are applied after each transaction through deal assignments, so employees can benefit from their company's contribution without any manual steps

  • Subsidies are kept logically separated from the employee's personal balance

Welcome Snack — meeting catering

For meetings and events, Welcome Snack lets tenant admins pre-order catering directly through the Welcome app. The supplier receives the order, fulfils it, and invoices the tenant company directly. Welcome handles the ordering and reporting layer; no card payment is required at the time of ordering.

Privacy and data

Welcome Workdays is ISO 27001 certified and GDPR compliant by design. The ledger-only payment model means Welcome never stores payment instruments or holds tenant funds, keeping personal data to a minimum. A Data Processing Agreement is in place with each canteen operator, covering retention, deletion, and data residency.

View the weekly menu

The weekly menu is shown in the Welcome Workdays app under Food. Some buildings also publish the menu as a news post via Welcome Communication.

Checking your balance and transactions

In the app under Food you can see:

  • Your current balance

  • History of all transactions (top-ups and consumption)
