How to pre-register a visitor

This article is for all users who want to know more about how to pre-register visitors in Welcome Workdays

How to pre-register a visit?

  1. Go to Company

  2. Go to Visitors

  3. Go to the Preregistrations tab and click the Create preregistration button

    Important: If you can't find the menu items, check that visitor registration is enabled in Company Settings.

  4. Fill in the New preregistration details:

    1. Event name (required) — Enter the name of the event (minimum 5 characters)

    2. Date and time (required) — Select the date and time of the event

    3. Instructions (optional) — Write a short message to attendees, for example where in the building the event is taking place. This will be sent by SMS to attendees

    4. Send arrival notification at (optional) — Choose whether you want to receive a notification for the first and last person in the group, or a notification for every person who arrives

    5. Add attendees (required)

    6. Enter name and phone number (required)

      1. The phone number identifies attendees on arrival so they don't need to fill in their information again

      2. You can also upload the attendee list by clicking Upload attendees

  5. Invite and save the registration: Once all attendees have been added, save the event by clicking "Invite x attendees". All attendees will receive information by SMS at 07:00 on the day of the event. You will see it in the overview of pre-registered events.


What happens after registration?

SMS notification to attendees: Attendees will receive an SMS with information about the event.

On the day of arrival: At the visitor registration kiosk (iPad in reception), visitors will see a list of available events.

  • Attendees select the company they are visiting

  • Attendees select the event they are attending

  • Attendees enter their phone number for quick check-in


Integrated access system

If the building uses integrated access control with Welcome Visit, an access code is automatically generated for attendees. The code is sent by SMS immediately when the visitor registers their arrival at the building. The host does not need to approve each individual visit in order to send the code.


Track arrivals

Based on what you selected in step 4 during registration, you will receive a notification either when the first and last attendee arrives, or when each individual guest arrives.

  1. Log in to the Welcome Workdays portal

  2. Get an overview of who has checked in and which attendees are registered


Editing an event

  • If you want to edit notifications or attendees, you can do this by clicking Edit under Pre-registration

  • If you want to change the time or message, the event must be deleted and recreated with the correct information
